Privacy Policy
Last updated: June 2025
This policy explains how Provida collects, uses, stores, and protects personal information when you interact with our website, attend our sessions, or become a member. We take the handling of personal data seriously and aim to be straightforward about what we do with it.
1. Who We Are
Provida is a Bangkok-based educational organisation providing pension and retirement records orientation workshops and organising services. Our registered address is 19 Soi Phahonyothin 7, Phaya Thai, Bangkok 10400, Thailand. You can reach us at [email protected] or by telephone on +66 91 724 3508.
We are the data controller for the personal information we collect in connection with our services.
2. What Information We Collect
We may collect the following categories of personal information:
- Contact information — name, email address, phone number, provided when you submit an enquiry form or register for a session.
- Session attendance records — details of which workshops or sessions you have attended, for administrative and record-keeping purposes.
- Membership information — if you join the Year-Long Guidance Membership, we hold your contact details and membership status.
- Payment records — confirmation of payment received, processed via bank transfer. We do not store card details.
- Communications — records of messages you send us by email or telephone, for continuity of service.
- Website usage data — anonymised data about how visitors use our website, collected via cookies and analytics tools. See our Cookie Policy for details.
We do not ask you to share personal pension details, account numbers, or financial records with Provida. Sessions are structured so that participants work with their own documents independently.
3. How We Use Your Information
We use your personal information only for the purposes for which it was provided:
- Responding to your enquiries and confirming session bookings
- Administering your membership and sending session updates and resource notifications
- Processing and recording payment confirmation
- Sending follow-up materials after sessions you have attended
- Improving our website and services using aggregated, anonymised analytics data
We do not use your information for profiling, automated decision-making, or direct marketing beyond the service-related communications described above.
4. Legal Basis for Processing
We process your personal data on the following grounds:
- Contract performance — processing necessary to provide the session or membership you have booked.
- Legitimate interests — maintaining records, responding to enquiries, and improving our services, where these interests are not overridden by your rights.
- Consent — for any optional communications or uses beyond those required to deliver the service, where we have asked for and received your agreement.
5. How Long We Retain Your Information
We retain contact and attendance records for up to three years after your last interaction with Provida, unless you request earlier deletion. Payment records are kept for seven years to meet standard accounting requirements. After these periods, data is securely deleted.
6. Who We Share Your Information With
We do not sell, rent, or share your personal data with third parties for their own purposes. We may share information with:
- Service providers — email and website hosting providers who process data on our behalf under data processing agreements, and only to the extent necessary to deliver our services.
- Authorities — where required to do so by law or regulation.
All service providers we work with are required to handle personal data responsibly and in accordance with applicable law.
7. International Transfers
Our primary operations are based in Thailand. Some of our service providers may process data outside Thailand. Where this occurs, we take steps to ensure appropriate safeguards are in place, consistent with applicable data protection standards.
8. Your Rights
Depending on your location and the applicable law, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your data, subject to our legal retention obligations
- Object to or restrict certain types of processing
- Withdraw consent where processing is based on consent
To exercise any of these rights, please contact us at [email protected]. We will respond within a reasonable timeframe and in accordance with applicable law.
9. Security
We take reasonable steps to protect your personal information from unauthorised access, loss, or misuse. These include password-protected systems, secure email practices, and limiting access to personal data to team members who need it to deliver our services.
No data transmission over the internet can be made completely secure. While we work to protect your information, we cannot make absolute guarantees about security.
10. Cookies
Our website uses cookies. For details of what cookies we use and how you can manage your preferences, please see our Cookie Policy.
11. Children
Our services are directed at adults. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. The date at the top of this page shows when it was last revised.
